Key Takeaways:

  • Encourage patients to jot down questions and organize priorities before appointments.
  • Help patients prepare by asking for medication lists, symptom details and other information in advance.
  • Make it easy for patients to note recommendations, follow-up instructions and future questions while information is fresh.
  • Empower patients to ask questions and seek clarification whenever something is unclear.
  • Reinforce next steps with written instructions and practical reminders to help with follow-through after the appointment.

There’s a lot for patients to remember during a healthcare appointment. They may need to describe symptoms, understand a diagnosis, discuss treatment options and recall next steps—all within a limited amount of time. Communication is critical to the patient experience and plays a key role in patient engagement. In fact, 95% of healthcare providers say effective patient communication is linked to higher patient satisfaction.

By supporting patients at each stage of the process, healthcare teams can help patients get more out of physician interactions. Use these strategies to help patients arrive prepared, actively participate in discussions and leave with a clear plan for what comes next.

Position the appointment as a conversation

A healthcare appointment can be more productive when patients see themselves as active participants rather than passive listeners. Focusing on this type of patient engagement can help create more meaningful discussions and better outcomes. Encourage patients to think about what they hope to accomplish before they arrive. Are they looking for answers about a new symptom? Do they want tips to improve their sleep? Are they concerned about medication side effects? Helping patients identify their priorities ahead of time can lead to more focused discussions.

Before their appointment, offer patients a healthcare-themed sticky book or notepad. These healthcare promo items give them a place to jot down questions and concerns, helping ensure the most important topics are addressed during the visit.

Help patients bring the right information

Productive appointments often start with good information. Encourage patients to arrive with an up-to-date list of medications, supplements and recent health changes. Symptom tracking may also be helpful. Details such as when symptoms started, how often they occur, and what makes them better or worse can provide important context for doctors. Patients who come prepared and actively participate in treatment decisions have better outcomes and higher satisfaction with their care.

Make it easier to capture important information

Healthcare appointments can cover a lot of ground in a short amount of time. Diagnoses, treatment recommendations, preventative advice or medication changes can be easy to remember in the moment but difficult to recall later. Encourage patients to take notes during appointments or bring a trusted family member or friend as a second set of ears. Patients who leave with written information are often better prepared to follow through on care instructions and ask the right questions later.

Provide magnetic notepads people can use to capture recommendations, questions and future appointments. Once home, the notepad can go on the refrigerator for easy reference.

Teach patients to be active participants

For a variety of reasons, patients don’t always feel comfortable asking questions during appointments. Some may worry about taking up too much time. Others may feel overwhelmed by unfamiliar language or the amount of new information. Encourage patients to view questions as an important part of their care. Asking for clarification, requesting an explanation in simpler terms or repeating information back in their own words can help improve understanding and reduce confusion.

Remind patients that support is available even after the appointment ends. Give healthcare promotional products, like hot/cold packs or stress relivers, imprinted with a QR code or URL that links directly to your patient portal, app or educational resources. Patients can take the item home and know exactly where to go when new questions arise or they need additional information.

Reinforce next steps after the appointment

Patients are often asked to schedule follow-up visits, complete lab work, take medications or make lifestyle changes between appointments. Without clear guidance, it’s easy for important details to be forgotten. Help patients leave with a clear action plan. Review key takeaways, provide written instructions and direct patients to additional resources when needed. Simple reminders can improve confidence and make follow-through feel more manageable. Offer patients branded pill organizers to support medication routines and reinforce treatment plans. These can serve as practical reminders of the discussion for patients and help them stay on track between appointments.

Set patients up for success

An appointment with a physician may only last a few minutes, but its impact can last much longer. By supporting patients every step of the way, healthcare teams can strengthen patient engagement and help each interaction become more productive and meaningful.
